Oversight without looking into case files

Board Safe Reporting gives boards and supervisory bodies aggregated, k-anonymous reports on volumes, lead times, themes and risk areas, without access to individual reports. Cells below the minimum group size of seven are suppressed, including in the heatmap and in exports.

Around a change programme you open a dedicated anonymous room, where employees ask questions, share concerns and fill in trust check-ins without an account or name. Retaliation Watch

A duty of care that continues after the report

Retaliation is reporters' greatest fear and is, moreover, prohibited by law. After a few days, Retaliation Watch invites the reporter to a short safety check-in; if they indicate detriment, the case gets a content-free flag, the handler receives a warning and follow-up actions are recorded.

Questions about the reporting channel and the modules

What is the difference between a reporting channel and a whistleblowing scheme?

A reporting channel is the avenue where employees can turn with concerns about misconduct, integrity or wrongdoing. A whistleblowing scheme is the formal procedure that is legally required for organisations with 50 or more employees and that covers wrongdoing in the public interest. Soterna combines both: a single safe entry point for the employee, with the right route and timelines per type of report behind it.

What does k-anonymous with a minimum group of seven mean?

It means that a figure in a board report can never be traced back to a single person. We only show a number from seven people in a group (for example a team) upwards; smaller groups are suppressed, including in the heatmap, in ratios and in exports. That way the board gains insight into patterns without an individual reporter becoming visible.

Does Soterna work alongside our existing confidential adviser?

Yes. Soterna does not replace the confidential adviser, but gives them a safe working environment: shielded case files, encrypted communication with the reporter and anonymised annual reporting. The software supports both internal and external (contracted) confidential advisers, and the employee chooses for themselves whom they feel safest with.

How quickly can a reporting channel go live?

Soterna is software-as-a-service and requires no installation. Setting it up is mainly a matter of configuration: roles and access, report categories, routes, timelines and your house style, plus alignment with the confidential advisers. In practice, a reporting channel usually goes live within a few weeks.
